No-meeting day

An initiative that sets days with no meetings across the organization and uses them for focused and creative work.

A no-meeting day is a practice in which an organization or team sets a specific day of the week as “a day with no meetings.” Its purpose is to prevent work from being interrupted by meetings and to secure blocks of time for focused work. In 2023 Shopify carried out a company-wide “meeting purge” that abolished most recurring meetings, and Asana made every Wednesday a “No Meeting Wednesday.”

Examples from companies that adopted it

Key points for running it effectively

To keep a no-meeting day from becoming an empty formality, it is important that leadership takes the lead in following the rule, that the criteria for allowing exceptions are clear (for example, allowed only for customer matters or emergencies), and that a mechanism that automatically blocks meetings in the calendar system is introduced.

Combining it with focus time is also effective, and a recommended approach is to expand focused work time step by step, for example by protecting mornings on other days as focus time in addition to the no-meeting day. Preventing meeting fatigue requires not only individual effort but also organizational design.

There is a reason behind the choice of day

It is no coincidence that Wednesday tends to be chosen as the no-meeting day. Both ends of the week have high demand for synchronous coordination: Monday for aligning plans for the week and Friday for end-of-week reports. Clearing Wednesday in the middle places focus time in the “valley of coordination,” and rearranging meetings is also relatively easy. There is also an advantage in a design that lets each team choose its day rather than the whole company doing it at once: teams that work a lot with other departments can match the same day as those departments, allowing practice that fits reality.
